Danish IP attorneys Strengthen Their Workflow with Visiodocs

Updated: Dec 21, 2022

IP attorneys Larsen & Birkeholm use Visiodocs to smoothen their daily workflow. The company highlights the ease of restarting work on cases with many documents – as well as the overview and ease of navigation during oral hearings.

There is no shortage of digital tools for handling PDFs and other digital documents. But when it comes to the legal world, it has historically been difficult to find a digital tool that makes it easy and fast enough to navigate digitally through the wealth of documents and information. When it comes to patents, this is particularly true in connection with oppositions and oral hearings, where counsel must quickly find their way around the documents, including the other party’s and their own citations, annotations, and comments. In these cases, many IP consultants still resort to printing. Furthermore, when working on a case, IP consultants have to open and navigate a whole string of documents at the same time – often making the daily routine of restarting work on a case time-consuming interruption.

A real alternative to printing

European Patent Attorney Inga Marie Wollny has been working with Visiodocs for some time. For her the new tool has been an eye-opener: – To me, using Visiodocs means that I experience a real and better alternative to printing for the first time in my career. This is especially true for oral hearings where things move fast and relevant documents, citations, etc. need to be ready at hand. She particularly praises Visiodocs for its visual approach, which makes it quick to identify, open and edit notes in the relevant documents. – Whether you are a patent holder or an opponent, the first thing you are asked to do at an oral hearing is to present your case. This is where Visiodocs’ report function is extremely useful, because I can quickly generate my notes in one document and create an overview.

Eliminating start-up time

In Visiodocs every document, annotation and comment are located in one place: And when you open a case, everything is ready in the exact place you left it. Almost as if you had an actual desk for each case with neatly organized documents, easily viewable annotations and comments. For many consultants a workday begins with the time-consuming task of simply getting started. Each case often includes a long string of documents in different formats, which have to be found, opened and navigated in between. – The fact that all my documents and annotations are there in one place exactly as I left them eliminates nearly all start-up time when returning to work on a case, says European Patent Attorney and CEO Mikkel Dalkiær.

Enhanced collaborative workflow

Among other useful functions in the IPR world, Larsen & Birkeholm highlights Visiodocs’ cloud-based approach which is designed for multiple consultants to collaborate on the same document. The updates in the documents are done in real-time and you see other users’ changes immediately. This also applies to comments on annotations, which act as a conversation between the participants in the project. The annotations are searchable by categories and the documents can be downloaded in an “Electronic Binder”.
